The Guild ("The Guild," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information through our Shopify-hosted marketing website, including our public pages, invite landing pages, application pages, Shopify storefront and checkout experiences we operate, and related communications (collectively, the "Site").

This Privacy Policy applies to information collected through the Site. The Site does not currently require users to create a website account before submitting an application. If you later use The Guild mobile app or third-party services linked from the Site, additional privacy terms or separate policies may apply to those services.

1. Information We Collect

We may collect the following categories of information:

Information you provide directly

  • Contact and identity information, such as your first name, last name, email address, phone number, and age.
  • Application information, such as whether you are applying as a leader or student, your invite code, church and membership information, doctrinal beliefs, statement-of-faith acknowledgment, whether you know others in The Guild, your goals, areas of growth, commitment concerns, and any other information you choose to provide in application responses.
  • Communications you send to us, including support requests, email correspondence, and other messages.

Invite and group-context information

  • Invite tokens, associated group or leader information, and whether an invite is valid, expired, or already used.
  • Information used to verify student applications, including whether the submitted email matches the email associated with a specific invite.

Order and transaction information

  • If you make a purchase through our Shopify storefront, Shopify and its payment providers process your payment information.
  • We may receive limited order and transaction details needed to operate our services, such as order identifiers, purchased products or SKUs, purchase status, and related contact or order metadata.

Information collected automatically

  • Device, browser, and log information such as IP address, browser type, pages viewed, referring URLs, timestamps, and similar usage data.
  • Cookie and similar technology data placed by Shopify or other services enabled on the Site.
  • Measurement and event data, such as invite-page visits, invalid-invite views, and clicks to continue to the application flow, when analytics or tag-management tools are configured.

2. How We Use Information

We may use personal information to:

  • operate, maintain, and secure the Site;
  • validate invite links and support invite-based application flows;
  • review and process leader and student applications;
  • route applications to the appropriate reviewer, including relevant group leaders and Guild staff;
  • communicate with you about your application, purchases, support requests, and next steps;
  • process, reconcile, or confirm purchases and payment-related events;
  • prevent fraud, abuse, duplicate submissions, and misuse of the Site;
  • maintain records, audits, and internal administration;
  • comply with legal obligations and enforce our policies; and
  • analyze and improve the Site and related services.

Some application responses may reveal religious or philosophical beliefs or similar sensitive information. We request and use that information only for application review, program administration, and related operational purposes. Please submit only information you want us to process for those purposes.

3. How We Disclose Information

We may disclose personal information:

  • to service providers and vendors that help us host, run, and support the Site and related systems, including Shopify, Amazon Web Services, email infrastructure providers, and analytics or tag-management vendors we enable;
  • to relevant Guild personnel who review applications or support Site operations;
  • to group leaders when necessary to review student applications or administer invite-based enrollment;
  • to payment, fraud-prevention, security, legal, or professional advisors as reasonably necessary;
  • if required by law, court order, or legal process, or if we believe disclosure is necessary to protect rights, safety, or property; and
  • in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.

We do not sell personal information for money. If we later use cookies or other technologies in a way that applicable law treats as "sharing," targeted advertising, or a similar regulated disclosure, we will provide any notices or choices required by law.

4. Cookies and Similar Technologies

The Site uses cookies and similar technologies from Shopify and, if enabled, other service providers to:

  • operate core website features;
  • remember preferences and session information;
  • understand site traffic and usage patterns; and
  • support analytics, event measurement, or similar reporting.

You can control cookies through your browser settings. If you disable certain cookies, portions of the Site may not function properly. Shopify may also provide additional consent or cookie-management features depending on how the Site is configured.

5. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to operate the Site, review applications, maintain records, comply with law, resolve disputes, and enforce our agreements.

In general:

  • invite codes are designed to expire after 90 days, although related records may be kept longer for security, auditing, or dispute-resolution purposes;
  • application records may be retained for application review, program administration, recordkeeping, and legal compliance;
  • order and payment-related records may be retained for accounting, tax, fraud-prevention, and compliance purposes; and
  • technical logs and usage data may be retained as reasonably necessary for site security, troubleshooting, and operations.

6. Your Choices and Rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or limit certain processing. You may also have the right to appeal a denial of your request.

To submit a privacy request, contact us using the information in the "Contact Us" section below. We may need to verify your identity before processing a request. We may also retain certain information where required or permitted by law.

If we send you promotional emails, you may opt out by using the unsubscribe mechanism in those messages. Transactional or service-related communications may still be sent when necessary.

7. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

8. Children's Privacy

The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided personal information to us, contact us and we will take appropriate steps to review and address the issue.

9. International Transfers

If you access the Site from outside the United States, your information may be transferred to, stored in, and processed in the United States or other jurisdictions where our service providers operate. Those jurisdictions may not provide the same level of data protection as your home jurisdiction.

The Site may link to third-party services or platforms, including Shopify-hosted checkout flows, app stores, and other websites or services we do not control. This Privacy Policy does not apply to those third parties, and we encourage you to review their privacy policies.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on the Site and update the "Last updated" date above. Your continued use of the Site after the updated policy becomes effective indicates your acknowledgment of the revised policy, to the extent permitted by law.
